UltiPro Updates
Dear Colleagues,
As we approach the official launch date of UltiPro, Human Resources would like you to know about some of the training tools available on our HR webpage.
At the top of the page, you can access a short video. Here, you will learn how to log in, find your personal Smart and Classic Dashboard, and navigate through a few of the features.
Next, you are encouraged to take a look at the slide show, Entering Time and Time Off in UltiPro. With this multimedia tool, you can review how to log in to the UltiPro portal. You will learn, step-by-step how to enter time, schedule time off, access and update personal information, locate emergency contacts and beneficiary information, and even view the new digital employee directory--all in one place.
Feel free to explore UltiPro! However, don't be alarmed if your vacation, sick time, and personal time off balances are incorrect. This will change when we officially launch. In the meantime, take a few minutes to explore the training tools and the UltiPro self-service features. If you have not already, download the UltiPro Mobile App! Instructions are on the HR webpage and on your personal Smart Dashboard.
In closing we want to thank the employees in the departments that have already signed in and trained on UltiPro: Marketing & Public Relations, Student Support Services, Dining Services, Library staff, and the Wellness Center. We are excited about UltiPro and here to assist in any way we can.

New 2020 W-4 Form: Employee’s Withholding Certificate
On December 5, the IRS issued the redesigned 2020 Form W-4 (Employee’s Withholding Certificate). The new form no longer uses withholding allowances. Instead, there is a five-step process and new Publication 15-T (Federal Income Tax Withholding Methods) for determining employee withholding. Excel Series: "Gen Z: Civics in Action"

Student Life, in collaboration with the OCCC Office of Equity and Compliance and in support of Black History Month, presents the latest in its heralded Excel Series. Participate in an open discussion with a panel of experts on the topic of young people taking real action and getting involved in civic and political affairs by running for office or considering a difference-making career move into community agency work.
Panelists include James Cooper, OKC Ward 2 Councilperson, J.D. Baker, Special Assistant to Mayor David Holt, Ana Hererra, South OKC Community Organizer, Neighborhood Alliance of Central Oklahoma, and Lyn Jackson, Administrative Coordinator, OK County Criminal Justice Advisory Council.
2020 United Way Campaign Kickoff
Please join us and participate in our United Way kickoff! The annual United Way Campaign is an excellent opportunity to make a difference by helping to create lasting change in the lives of others.
What: Kick-off Presentation begins at 10:00 a.m.
When: Thursday, February 20, 2020, from 10 a.m. to 2:00 p.m.
Where: CU2 and CU3
Special guest presenters will share important information about the United Way and associated organizations. Additionally, multiple partnering agencies with the United Way will be set-up in the College Union to provide essential information about the many organizations that do so much for our community.
Visit these nonprofit partners during the kickoff, and complete your BINGO card to enter a drawing for the chance to win fun prizes. Participation in the drawing is FREE for all attendees. No donations or payroll deductions are required to participate.

Your gift matters! You will receive an email from United Way on Thursday, February 20, 2020, containing your personal online payroll deduction form for the United Way. Professional Development Update
Grant Writing 101
Course Description: Grant writing can be a daunting endeavor. Complicated guidelines, detailed budgets, stressful submissions: Is it any wonder most people think they don’t have time to write a grant? However, at OCCC, you have the Grants and Contracts office to assist you at every step of the way. This training will provide an overview of the basics of grant writing in hopes of encouraging you to venture into the grant world.
Who should attend? Anyone interested in writing and submitting grants.

Director/Administrative Assistant Budget & Purchasing Training
Course Description: This budget process overview will provide a general understanding of the financial management component. The explanation of the purchasing procedures will demonstrate how the financial process is conducted in accordance with state laws and college protocol. In this hands-on workshop, the Budget and Purchasing Teams will explain the budget process, intricacies of object codes, auxiliary and Education and General (E&G) accounts, and vendors.
Who should attend? Financial requisition initiators and approvers.

Every year more and more Americans are traveling internationally and with Spring Break around the corner, it’s a good idea to create a plan to anticipate any issues that could arise. When traveling abroad, pay attention to your health and practice healthy behaviors. No one wants to think about getting sick during a trip but sometimes things happen. Did you know that you can quickly open a link in a new tab, by clicking the scroll wheel on your mouse? After placing your cursor on the link, click down on your scroll wheel. The link will automatically open in a new tab and save you from opening a new tab, copying the link location, and pasting it in your browser.

Kathleen Smith, J.D. has joined the Human Resources department as the Director of Employment and Employee Relations. Kathleen is an attorney with over twenty years of legal and administrative experience. Previously, she worked at the University of Oklahoma overseeing civil rights investigations and Title IX compliance. Most recently, as the Director of Intake and Program Services for the U.S. Center for SafeSport, she assessed and resolved complaints of misconduct within the Olympic sports community. Kathleen is very excited about the opportunity to serve the College in her new role.
